What AI can't do at your event

I work with AI every day. I use it to draft, to research, to pressure-test my plans. Anyone who tells you AI has no place in event planning is selling something or scared of something.

But here is what it cannot do.

The 11pm lobby

Picture the 11pm lobby: an exhausted attendee, and a planner deciding that this person needs a room upgrade and a kind word more than efficiency.

That decision takes a human reading another human. It takes noticing the slump in the shoulders, the flight delay behind the tired eyes, and knowing that the right move is comfort, not process. No model can make that call, because the information it would need is a face, in person, at that moment.

Relationships aren't data

It cannot turn a restaurant relationship into a table for 40 tonight, because relationships are not data.

Tables that do not exist go to planners who know the person answering the phone. That is years of showing up, remembering names, and following through. You cannot prompt your way into it.

Reading the room

It cannot read the educator's face at lunch, see he needs ten minutes of quiet before the afternoon session, and rearrange the schedule without being asked.

That is pattern recognition of a different kind. It is knowing someone well enough to see the fatigue before they feel it, and caring enough to act on it without being asked.

AI is excellent at the plannable parts of events. The unplannable parts, the human ones, the ones that happen in real hallways with real tired people, those still need a person who has spent years in those hallways.

I am not worried about AI replacing planners. I am excited about what planners can do once AI handles the paperwork and we get to spend our time on the people.
